Video rooms

Run video calls with customers that need no account, protected by PIN and waiting room, with optional end-to-end encryption.

Video rooms let you meet customers from the browser or the mobile app. Customers don't need an account or an app: they click the link, type their name and join.

Features: optional PIN, waiting room, screen sharing, chat, camera and microphone controls, end-to-end encryption (E2EE) and recording.

Availability

Video depends on your plan and must be turned on under Organization → Video. When the module isn't available, the screen says why (plan, organization setting or minute balance).

Create a room

  1. Open Video calls in the left menu and click Create room. You can also open a room from inside a conversation with Start a video call.
  2. Choose the settings:
    • Room name, optional Start time and Duration.
    • PIN (4-12 digits, optional or required by your organization's rules).
    • Waiting room: guests wait until you admit them.
    • Allow recording (see below).
  3. Create the room.

Invite the guest

From Links and invitations in the room details:

  • Guest link: copies the link for the customer. It looks like https://getclickfix.com/r/<code>.
  • Agent link: for your teammates; only signed-in organization members can use it.
  • Send invitation: emails an invitation to the customer.

The PIN is not included in the invitation email. For security, send it to the customer over a separate channel (SMS, phone, chat).

Links expire 24 hours after the planned end for scheduled rooms, and 7 days after creation for unscheduled rooms.

The guest experience

  1. The customer opens the link, enters their name (and the PIN if asked) and clicks Join the call.
  2. The browser asks for camera and microphone access.
  3. With a waiting room, the customer sees a waiting message and joins once you admit them.

If the customer has the mobile app installed, the same link can open in the app.

Waiting room and participants

Manage guests from the Waiting room list with Admit or Deny. Use Remove to take someone out of the call. A guest in the waiting room has no access to the call's audio, video or encryption key until admitted.

Camera, screen sharing and chat permissions are enforced on the server according to the room's and organization's rules.

Encryption and recording

Every call is encrypted in transit, both signaling and media. In addition:

Room typeEnd-to-end encryptionRecording
Recording off (default)On: media is decrypted only on participants' devices; the server can't see the contentNot possible
Allow recording onOffPossible; participants see "This call may be recorded"

Recording happens on the server, so an end-to-end encrypted call can't be recorded; that's why you choose when creating the room. If your organization requires E2EE, no room can be recorded.

Storing recordings

Download or delete recordings under Organization → Video → Recordings.

  • By default recordings are kept in platform storage for a limited time (shown on the settings screen) and then deleted automatically.
  • With Upload recordings to our own S3 bucket, recordings go straight to your storage. You enter the endpoint (https://), region, bucket, optional prefix and access keys. ClickFix doesn't delete recordings in your own bucket.

Organization rules

On Organization → Video → Rules you can tighten the rules within the platform and plan limits: turn off camera, screen sharing, chat, recording or guest access; require PIN, waiting room or E2EE; lower duration and participant limits.

Minutes and billing

Video is billed per participant-minute: each participant's connection is rounded up to the minute. Recording is not billed separately.

  • Your plan's minutes are used first. If your plan includes unlimited minutes, nothing is metered.
  • Buy extra minutes as packages on the Minutes tab; they are added once the invoice is paid.
  • With a zero balance no new room can be opened and nobody new can join. If the balance runs out during a call, the room is closed.
  • When the balance drops below the threshold, owners and admins are notified at most once a day.
