Automation and workflows

Automate repetitive support work with routing rules, macros and the visual workflow editor.

Automation in ClickFix has three layers:

ToolForWhere
Routing rulesSending new conversations to the right team or skillTeam status → Routing
MacrosApplying several actions to a conversation in one clickInbox → Canned replies → Macros
WorkflowsVisual automations built from triggers, conditions, actions, waits and branchesWorkflows

Routing rules

On Team status → Routing, turn on automatic routing and pick a strategy:

  • Round-robin or Load balanced.
  • Respect capacity limits: an agent never gets more concurrent conversations than their limit.

Routing rules are evaluated top to bottom; the first matching rule sends the conversation to a team's queue or asks for certain skills (e.g. en, billing). With no rules, all agents form a single pool. The Live status tab shows online agents and the queue; the History tab shows routing decisions.

Macros

Macros apply a sequence you do often (add a tag, change priority, assign, send a reply and so on) in one go. Open them with M in a conversation. They can be personal or team-wide.

Workflows

The workflow editor lets you build automations with nodes on a canvas.

New workflow

  1. Choose Workflows → New workflow in the left menu. The flow starts with a trigger and an end node.
  2. Drag nodes from the Nodes palette onto the canvas and connect them by dragging from an output to an input.
  3. Select a node to configure it in the side panel.
  4. The Issues tab lists missing or invalid settings. The draft saves once there are none.
  5. Try the flow with Test, then Publish.

Every published version is immutable; runs stay tied to the version they started on. Restore an older version into the draft from the Versions tab.

Node types

NodeWhat it does
TriggerThe event that starts the flow. Exactly one per workflow.
ConditionContinues from "yes" when the condition is true, otherwise from "no". Conditions can be nested with AND / OR groups.
BranchSplits the conversation into two paths.
ActionChanges the conversation or starts an external operation.
WaitWaits between 1 minute and 30 days. Loops may only point back from a wait node.
EndEnds the flow. Every path must reach an end.

Triggers

  • Conversation created
  • Conversation updated (status, priority, assignment and similar changes)
  • Message received (a new customer message)
  • Tag added
  • SLA breached
  • Scheduled (scans open conversations every N minutes)
  • Webhook (an authenticated API call starts the flow)

Actions

  • Assign to agent, Route (by team, skill and strategy; capacity and availability are read live)
  • Add tag, Remove tag, Set priority, Set status
  • Send reply (text you write) or Send canned response
  • Add internal note, Notify
  • Call webhook (sends the event to a registered webhook endpoint)
  • Run AI procedure (the result stays as a suggestion; nothing is sent to the customer)
  • Create product request (opens a record in the connected issue tracker: Jira, Linear or GitHub)

Importing a routing rule

Import routing rule turns an existing routing rule into a workflow. It arrives as a published but disabled workflow; the original rule is unchanged. You decide which one stays active.

Monitoring runs

The Runs tab shows each run's step log. Show on canvas highlights the path the run took. Waiting runs show when they resume. An external step with an uncertain result is not retried and is flagged for you to check by hand.

Automating with external tools

To connect tools like Zapier, Make and n8n, see Integrations. To send events to your own system, see Webhooks.
